POTENTIAL CALCULATOR
What does manual work cost you in your processes?
Set up your process. The calculator simulates 1,000 runs over three or five years.

Your budget for adoption
€24,865This is how much adoption may cost as a one-time amount, after operations, maintenance and AI usage over three years are deducted. Median of 1,000 simulations.Assumption: automation takes over 70 to 90% of the task.
Cumulative net benefit, discounted
Move your mouse or finger over the curve to see single months.
Distribution of 1,000 simulations
Each bar counts how many runs land in that range. The narrower the distribution, the more reliable the result.
Which assumption moves your result the most?
We change one assumption at a time across its plausible range and hold all others fixed. The line in the middle is the starting value of €25,281.
Already have a quote? Check it here.
Set the amount of the quote. You will then see in how many of the 1,000 simulations it pays off within three years.
How we calculate
We only calculate with what you know about your business, and we lay every assumption open. What we cannot know, such as how much time an automation really saves you, we treat as uncertainty instead of a fixed number: the calculator draws random values from the ranges below 1,000 times and computes each run on its own. Median and probabilities come out of that (Monte Carlo simulation). The darker area shows where half of the 1,000 runs lie, the lighter one where 8 out of 10 lie. From the savings we deduct the running costs: operations, maintenance, licenses and AI usage. We deliberately do not convert qualitative effects such as team satisfaction into euros.
| Variable | Value | Rationale |
|---|---|---|
| a, share of time saved | 70 to 90%, usually 80% | BxM estimate for processes that are taken over completely |
| e, share of errors avoided | 70 to 90%, usually 80% | Triangular distribution, drawn independently of a |
| R, ramp-up to full effect | 2 to 8 months, usually 4 | Triangular distribution. Teams need time to adopt new processes |
| g, wage growth | 3% per year | Collective wages in Austria 2025 plus 3.9%, 2024 plus 8.5% (Statistics Austria). Set lower on purpose, because both years were driven by inflation |
| r, discount rate | 8% per year | Typical cost of capital for midsize firms |
| W, working weeks per year | 44 | 52 weeks minus vacation, public holidays and sick leave |
| C_fix, operations, maintenance, licenses | €250 per month | Typical value for operations and maintenance |
| c_KI, AI usage per automated hour | €2 | Estimate, depends on the AI model and the volume |
| t, AI price trend per year | 0% (adjustable −50 to +50%) | AI prices change fast, the direction is open. Default: unchanged |
| w, workload growth per year | 0% (adjustable 0 to 30%) | If your volume grows, benefit and AI costs rise in the same proportion |
| E, internal effort for adoption | 0 hrs (adjustable 0 to 200 hrs) | Your team’s time for coordination, tests and training, valued once in month 1 at s |
| Time horizon | 3 years (5 optional) | Sets the number of months in the net present value and the length of the charts |
| s, default hourly cost | €42 | Labor cost in Austria 2024, services sector €41.80 per hour |
